FAQ - Mailing Services

Can you mail my direct mailing piece if I send you a mailing list?

Yes! For postcards, brochures, newsletters, or any direct mail piece you might have, we will be glad to mail your material to a list of mailing addresses that you supply. Simply email us your list in a Microsoft Excel (or another preapproved) format and we will be able to take that data and do the necessary applications to get it ready for direct mailing.

Can you use my mailing permit and mail my material from your location?
We can only use your permit number if your permit is registered in the Denver Metro Area. Mailing permits are tied to local USPS offices and may only be used in the locality where they are issued. We do offer our customers to ‘use’ our permit number in place of yours to still receive the postage rate you are accustom to paying. Also, we would be happy to address your material and ship it to you, and then you could use your own permit and mail it from your location.

Can I have you mail some of my order and ship the rest?
Of course, it is actually very common. Just make sure that when discussing your job with one of our personal consultants simply let them know what portion of the job is going to be mailed out and what portion you would like to be shipped. We will need to shipping location, and type of shipping service requested, of those not mailing when the job is ordered.

How should I lay out a piece to comply with USPS mailing regulations? Do you have postcard and brochure templates?
Please see our “Direct Mailing / Mailing Services” page for postcard and brochure templates that include both printing and mailing layout guidelines. If you have any questions, don’t hesitate to call us directly.

What will you do with any duplicate or questionable addresses from my list (CASS Certification)?
On every mailing order we remove duplicate listings and CASS Certify the list, which allows us to identify "undeliverable" or questionable addresses. We can either mail to these bad addresses or delete them from your list, whichever you prefer.

It's not always the case that addresses considered "undeliverable" in the USPS database won't reach their destination. Some of the addresses deemed questionable might be delivered successfully because the local mail carrier knows the particular neighborhood and where to deliver the mail piece. Since questionable addresses may actually work, you may want to include them in a mass mailing where "getting the word out" matters more than meeting a tight budget.

Please let us know when uploading your mailing list what you’d like us to do with any bad addresses and we'll adjust your mailing quantity as needed.

What mailing list format should I send you?
The best file formats to send us for your mailing list are either Microsoft Excel. Please give us a call at 303-790-4600 if you're not sure what format you have or if we can use it. We can walk you through getting your address list into a viable file format and uploaded to us. The most common file formats and extensions for mailing lists are:

  • .CSV Comma Delimited
  • .ASC ASCII text file
  • .TXT ASCII text file
  • .XLS Microsoft Excel Spreadsheet
  • .MDB Microsoft Access

Once you have your list prepared, you can email it directly to your personal consultant.

What's the best way to break out the address fields or column names when exporting or preparing a mailing list?
The minimum required fields are: Name, Address1, City, State, Zip. Optional ones might be Business Name, Address2, Dept., etc. There is a limit of 5 lines for any address which in turn limits the number of different fields we can include.

Can you insert additional pieces into my envelope, flyer, etc.?
Sure! We have the equipment to insert multiple pieces into various sized envelopes and flyers. Please contact us to discuss your particular needs and to get an accurate price quote.

Do you offer tabbing (also called wafer sealing)?
Any mailing piece that requires tabbing is automatically tabbed according to postal regulations. There is no additional price for tabbing as this is automatically included in the price. If you need tabbing but you don't need us to mail your material for you, please call us for pricing.

Will aqueous or UV coating interfere with addressing and mailing?
Adding an aqueous or UV coating to a printed piece is a great way to avoid the scuffing which can occur during the sorting and delivering of your pieces in the mailing process. When it comes to addressing a piece that has coating, the coating is “cut out” from the mailing panel only to allow for the addressing not to smear.
